Transaction Coordination

  • Review contract and addendums for accuracy and completion

  • Confirm option and earnest funds are receipted accordingly within deadlines

  • Provide a copy of the contract and addendums to your Broker/office, clients, lender, title company, and co-op agent

  • Update status of listing on MLS

  • Personalized contact with all parties introducing my services as your coordinator by phone call and email

  • Weekly and as-needed follow-up with all parties involved via phone calls and/or emails

  • Setup and confirm appointments for inspections and appraisals to gain access to the property

  • Ensure all contract deadlines are met: option period, financing period, and closing

  • Follow up on required disclosures, HOA records, property survey, and T47 affidavit

  • Maintain a communication and correspondence log in C2C CRM

  • Contact lender regularly for updates on buyers' financing and confirm appraisal value

  • Verify clear title commitment with Title Company

  • Follow up on completion of repairs and inspections

  • Available by phone and email to all parties during business hours Monday through Friday from 9 AM to 5 PM

  • Available to your client to guide them through the closing process and answer their questions

  • Assist in obtaining insurance information, power of attorney, wiring information, etc. in preparation for a timely closing with Title Company

  • Pre-closing reminders to the buyer/seller, including utility transfer, final walkthrough, notification to bring certified funds to closing, a reminder to bring keys and remotes, repair receipts, schedule closing, and review closing statement with the client for accuracy

  • Confirm the file is compliant with Broker's records, make any corrections as needed

  • Request and process CDA and forward for payment

  • Verify funding with the settlement agent and inform all parties

  • Process funding checks with your office and close out file

  • Order sign and lockbox/supra to be removed after closing change status on HAR

Listing Coordination

  • Enter listings in MLS with details supplied by the agent and upload disclosures

  • Order signs/posts, lockboxes/supra to be installed (agent to advise)

  • Setup and confirm photographer appointment for pictures with sellers accordingly

  • Add all photos and virtual tours to HAR with descriptions for each photo

  • Create/setup weekly traffic report in HAR for the seller

  • Set up listing showing service feedback system and/or showing instructions

  • Enter listing executed paperwork into the broker system and verify/ensure all needed contract paperwork is correct and compliant with the broker

  • Send copies to the seller of all contract documents and notify the seller once active on HAR

  • All photos received after 10 am will go active with full descriptions 48 hours after receipt

  • If needed less than 48 hours, we can process the descriptions after the house goes active on MLS the following business day

Broker Compliance Coordination

  • Review sales contract and/or listing contract for compliance to ensure all signatures and documents are completed

  • Assist in getting any missing initials, signatures, and/or
    forms completed for Broker Compliance

  • Enter/submit a contract to Broker for processing

  • Complete request from Broker for CDA and review CDA for
    accuracy on sales contract file
